Checklist for Trips Preparation

Each Tour group MUST be accompanied by a minimum of one teacher (one teacher for each 20 students, above 25 participants 2 teachers).  We advise, only booking tour group of the same grades (e.g. JSS 3 or SS 1). A completed tour form must be submitted before application for bookings and itinerary could be processed.

Every applicant is asked to provide one set of application documents. This set has to contain the following mandatory documents (original + one copy of each document) in this order: For Nigerian applicants

For every Tour Participant:

  1. valid passport + color copy of its data page – only E-Passports can be accepted, no

observations or renewals allowed

  1. for non-Nigerian nationals residing in Nigeria: copy of Nigerian residence permit
  2. passport photos according to biometric specifications, one attached to application form and

one loose (both identical photos).

  1. colour copy of all previous Schengen visas if applicable

For accompanying Teachers / Parent:

  • original letter of introduction by employer
  • leave letter from employer
  • employment contract and pay slips of the last three months
  • original bank statements of the last three months (only stamped and signed bank Statements are accepted)

If accompanying parent is freelancer / self-employed

  • Certificate of Incorporation / Registration of the company in Nigeria
  • Memorandum and Articles of Association / Company and Allied Matters Act
  • Federal Inland Revenue Service Income Tax Clearance Certificate/Company Income Tax

Clearance Certificate of the past year

  • personal bank statements of the last three months (only stamped and signed bank

statements are accepted

  • company’s bank statements of the last three months (only stamped and signed bank

statements are accepted

  • if applicable proof of landed property
  • Marriage Certificate (issued by the marriage registry) or, if traditionally married only,

„affidavit of facts“ plus wedding pictures

  • NPC Birth Certificate/s of minor children even if they are not traveling

For tour participating students:

  • NPC Child´s Birth Certificate
  • letter of school confirming current enrolment and sanctioning leave of absence
  • consent letter from both parents regarding child´s travel
  • copy of parents` passports
  • if one parent is deceased: Death Certificate
  • if parents are divorced: Court Order regarding child´s custody

WHY SHOULD I GIVE PERMISSION FOR MY CHILD TO GO ON THE TOUR?

DO WE NEED TO GET A VISA FOR OUR INTERNATIONAL TOUR?

All participants of Non-Schengen countries or Countries that require Visa into the Schengen states, must obtain a Valid Visa to enter any of the Schengen states. Olco obtains for all participants, a valid visa for the period of the tour.

I HAVE NEVER TAKEN A GROUP OVERSEAS BEFORE, WILL I BE OKAY?

Yes, Olco recognises that within the context of school travel, a risk assessment is the basis of a plan for how the group leader expects to lead their group on the trip with the objective of arriving home safe and sound. You will depart with at least one Olco tour guide from Lagos/Abuja.

WHAT WILL STUDENTS EXPERIENCE ON A SCHOOL TOUR?

School tours include in-depth exploration and discussion at four to five tour stops in historical sites or galleries. Trained volunteer docents encourage careful observation, foster an open exchange of ideas, and cultivate connections between art and life. Tours use a variety of teaching strategies, which may include sketching, creative writing, and group activities.

CAN YOU ORGANISE TOURS TO OTHER COUNTRIES?

Yes. We can organise tours to other Schengen states like Belgium, Austria, France etc.

DO I NEED TO ORGANISE TRAVEL INSURANCE?

All participants must have a comprehensive travel Insurance, which covers the whole of Schengen states. This policy is a MUST and will be obtained for all participants by Olco. The cost is already included in the tour package

HOW LONG MUST A PASSPORT BE VALID FOR ON INTERNATIONAL TOURS?

In general passports should be valid for 6 months UPON THE RETURN DATE INTO HOME COUNTRY.

CAN WE TAKE A STUDENT IN A WHEELCHAIR ON OUR TOUR TO GERMANY?

Yes you can. We can organise coaches for handicapped passengers for all our tours, please ensure you let us know about this specific requirement though as early as possible.

HOW DO I REGISTER FOR SCHOOL TOURS?

You can register for a school tour by using the online tour request form. Tours must be scheduled Ten weeks in advance. Registration should be done the school administration.

HOW MANY STUDENTS MAY I BRING ON A SCHOOL TOUR?

School tour group must have a minimum of 15 participants. Please check the tour description for the maximum number of students your chosen tour can accommodate.

HOW MANY CHAPERONES SHOULD I HAVE PER STUDENT ON A TOUR?

Tour groups must be accompanied by one adult chaperone for every 20 students.

HOW WILL I KNOW WHEN MY TOUR HAS BEEN SCHEDULED?

Once your tour has been scheduled, you will receive a confirmation letter via mail within 5 business days.

WHAT SHOULD I DO IF I NEED TO CANCEL MY SCHEDULED TOUR?

To cancel your tour, please call the tour scheduler at (+49) 178-508-1023 as soon as possible. Tour slots are limited and we would like to accommodate as many groups as we can.

HOW DO I KEEP IN CONTACT WITH MY FAMILY WHILST ON TOUR?

For most groups that travel, the group leaders will advise on whether or not students are permitted to take mobile phones.

This is obviously the easiest way to contact your child, however, we would advise that when taking mobile phones abroad there are number of things to consider:

  • Those on phone contracts may need to pay significantly higher “roaming” and connection charges for calls and text messages both received and made abroad.
  • The Olco Travel Insurance policy (and most other travel policies) does not cover loss, theft or damage of mobile phones. Therefore alternative insurance is required for any mobile phones taken.

Because of the two issues above, we would actually advise against taking “expensive” mobile phones and other electronic equipment (iPad, gaming equipment etc..), and opt either for a more cost effective “pay as you go” sim card phone or pre-paid telephone cards.

Advice on what to discuss with your child before they depart

Ensure that your child fully understands that the group leaders/teachers are there to keep them safe – requests/instructions from the teaching staff should be listened and adhered to.

They should stay with their group at all times and not be tempted to wander off on their own – no matter how tempting the view or new dress in the window!

Ensure your child is fully aware of the different cultures in Europe and indeed in “city” areas. They should remain respectful at all times and remember that most people understand English (particularly bad language), so please encourage them to avoid causing possible “conflict” with locals.

Ensure that they make themselves fully aware of the hotel “rules” on arrival – if they aren’t allowed to use lifts… don’t use the lifts etc.. Please ensure they listen fully to the fire evacuation and other safety procedures when they arrive at the hotel.

No smoking or drinking of alcohol is permitted on school tours

Please ensure your child understands, no matter how tempting, drinking/smoking could result in sickness and there is nothing worse than a hangover, particularly on a coach journey!

Ensure they are “sensible” with their money whilst on tour.

Finally, ensure your child is ready to appreciate the experience they are about to undertake. They should be encouraged to challenge themselves academically whilst away and have lots of fun! Like most children before them, they will return with countless memories of their “school tour” and tales to share.
